Time spent calculation: exclude non-business hours and weekends

Thanks in advance for any help that can be offered.

I am using Excel 2007.

Variables:
StartDT = The time the ticket came into the system
EndDT = The time the agent closed the ticket
StartTime = The time the business day starts
StopTime = The time the business day ends
TimeSpent = The calculated time spent

Business hours are 0600 - 1800.

Weekends and after hours are not included in time spent.

ex.
StartDT
4/9/2010 17:00

EndDT
4/12/2010 7:00

Scenario: A case comes in at 17:00 on Friday 4/9/2010. The case is closed at 07:00 on Monday 4/12/2010. Total time spent (calculated manually) is 2 hours.

So the columns would look like:

|StartDT|EndDT|StartTime|StopTime|TimeSpent|


So what I need is a formula for the TimeSpent column that calculates the time spent using the given information in the previous columns.

Are the start and end times always within the period 6:00 to 22:30? If so try this formula in C2

=(INT(B2)-INT(A2))*("22:30"-"6:00")+MOD(B2,1)-MOD(A2,1)

Assuming start time/date in A2 and end time/date in B2

custom format C2 as [h]:mm

You can replace the "22:30"-"6:00" part with cell references but if your start and end times might be in the non working hours then you need a slightly more complex formula, i.e.

=(INT(B2)-INT(A2))*("22:30"-"6:00")+MEDIAN(MOD(B2,1),"6:00","22:30")-MEDIAN(MOD(A2,1),"6:00","22:30")

or if you have 6:00 in J2 and 22:30 in K2

=(INT(B2)-INT(A2))*(K$2-J$2)+MEDIAN(MOD(B2,1),J$2,K$2)-MEDIAN(MOD(A2,1),J$2,K$2)

I found this function fits my project to calculate the duration of order processing leadtime.

Does that formula work for you - it should allow start and end times to be any times/dates. If start time is always within business hours (i.e. between StartTime and StopTime on a business day then you can use a shorter version, i.e.

=(NETWORKDAYS(StartDT,EndDT)-1)*(StopTime-StartTime)+IF(NETWORKDAYS(EndDT,EndDT),MEDIAN(MOD(EndDT,1),StopTime,StartTime),StopTime)-MOD(StartDT,1)

Is 21:00 within your business hours - formula assumes that the business hours are all within a single day

Hi Barry,

Might be I misunderstood the formula.

Let’s me explain more the my query...

If order is faxed to my department outside office hour, it will only be counted from the next business day, i.e. StartTime is always within business hour
However, OT is allowed to complete the order, i.e EndTime can be outside business hour.

Business hour is from 9am to 6pm.

4 possible combination of orders:

1) StartTime & EndTime are always within business hrs
For example:
Order receives on Mon 9am, & finishes on Mon 11am -->Time spent is 2 hours
Order receives on Mon 9am, & finished on Tue 11am --> Time spent is 9 hours

2) StartTime is outside business hours, but EndTime is within business hours
For example:
Order receives on Mon 8pm, & finishes on Tue 11am --> Time spent is 2 hours

3) StartTime is within business hours, but EndTime is outside business hours (i.e. OT is allowed.)
For example:
Order receives on Mon 9am, & finishes on Mon 9pm --> Time spent is 12 hours

4) Both StartTime and EndTime are outside office hours

For example:
Order receives on Mon 9pm, & finishes on Tue 9pm --> Time spent is 9 hours

Please kindly advise if your formula fit all these requirement?

I found the below formula in your other post and it fits my above 4 scanarios EXCEPT it does not count the after office hour overtime work (i.e after 6pm, and no OT is allowed before 9am).

Hello HectorD, welcome to MrExcel

You can insert the holiday range into each NETWORKDAYS function, so if your start and end times will always be within business hours you can use

=(NETWORKDAYS(StartDT,EndDT,Holidays)-1)*(StopTime-StartTime)+MOD(EndDT,1)-MOD(StartDT,1)

or for any start and end times

=(NETWORKDAYS(StartDT,EndDT,Holidays)-1)*(StopTime-StartTime)+IF(NETWORKDAYS(EndDT,EndDT,Holidays),MEDIAN(MOD(EndDT,1),StopTime,StartTime),StopTime)-MEDIAN(NETWORKDAYS(StartDT,StartDT,Holidays)*MOD(StartDT,1),StopTime,StartTime)

I want the same calculation but, I want to include "Saturday" as a working day..... Only Sunday is Off!..... Shift timing are frm 8 AM to 8 PM. Pls help!

Which version of Excel are you using?

Do you have holidays that need to be excluded too?

Will start and end dates/times always be within the working hours....or could they be outside, e.g. in the morning before 08:00 or on Sunday?

3) End_Date time is always within the working Hours.<o:p></o:p>
4) Only Sunday is a weekly off.<o:p></o:p>
5) There is a list of holidays for the year too. It may be 10 to 15 days.<o:p></o:p>
