hi there, and thanks for the reply,
I a very very new to this so I guess I am just cobbling my way around it trying to make the database do what I want it to,
I don't know yet how to make it calculate things for me and make a usable results. my apologies if my posts appear stupid, they are not meant to be.
what I am trying to do next is to get a report for a period between dates. and a report based on upcoming dates but selectable periods
regards

No need to apologize! Your questions are not stupid at all. That is what this site is for, to teach and learn! Access is a bit more complex and not as intuitive as Excel, and the learning curve is definitely steeper.

Typically, what I do in these situations is try to do most of my calculations in a Query (as Calculated Fields or Expressions). You can then use your Query as the Data Source for your Forms, Reports, Exports, etc. I find it easier to do the calculations in queries as opposed to trying to do them on Forms or Reports.

Here is a good write-up on doing calculations in different places in Access: Create an expression - Access

Does that help? Please feel free to post back with any questions you may have.

Also note, that there are sometimes reasons why you may want to store a calculated fields (i.e. if the "variables" used in your calculation change and you wanted to capture and store what a calculation was at a particular point in time). So the reasoning for my last question in post #10 was to try to find out from you if this was one of those instances. I can see how it might be read in different ways, how it might be perceived as a criticism, but that is not the way I meant it to be interpretted. It was a "fact-finding question", because you may have a valid reason on why you need to store it.
