I have a large spreadsheet as follows

I have created the following pivot

Is it possible to set things up so that it only displays the top three users for each year group?

Excel Facts

Show numbers in thousands?
Use a custom number format of #,##0,K. Each comma after the final 0 will divide the displayed number by another thousand
yes, use the TOP 10 Filter function.
Right Click on a name in your display column of the Pivot Table. (in your case Bethany, for example)
Then Click FILTER, then Click "Top 10", change the number to three. As in this image:

(But make sure the summarization at the bottom is what you desire).

Thanks for that, I could not get it to work so I tried to simplify the table first i.e.

And when I try limit it to the top 3 it does not do what I need i.t. it will do the top 3 Years but what I am looking for is the top three within each year group i.e. all year groups with just the top 3 users listed.

Ok, sorted it. Added a column called count:

And then used the count as a filter on the pivot table (selected just 1,2 &3)

To make it perfect I just need to work out how one sorts the count column from largest to smallest.

okay. I'm not really sure what kind of result you want. I hope showing you where to find TOP 10 Filter put you on the right direction to a solution.

Thanks it helped me understand that such a feature exists but in the end it only filtered at the top level, but yes it is all part of the learning process :)
