help with data shared between tables

i have a master table with data regarding events that multiple teams use for their individual tasks. one team tracks running of reports for expos. other teams tracks submission of fire marshal diagrams for events in certain cities. not all events are worked on by each team, some events dont have fire marshal submission at all. some events dont have expos associated with them. some events have both needs.

the black columns is data that both areas utilize, the blue columns are expo only, orange is really just the status from fire marshal areas.

for the expo area, they run reports at specific intervals and it needs to be tracked. there are multiple columns here that are editable in its individual table. the issue comes about when a new event comes up and it gets added to the master table.

when adding a new event on the master sheet (highlighted in yellow), you can see that on the expo sheet it also added the new line, however, the data added in this individual table stays put and doesnt move (the purple highlighted squares). i have tried using xlookup, filter and a few other ways to pull the data to the expo table, but run into the issue.

any ideas to have the individual tables have editable columns but still be able to add lines when new events come up?
