The Visio Data Visualizer reaches general availability.
Hey, welcome back to the MrExcel netcast.
I am Bill Jelen.
Both Leila and Mynda have covered the preview version of the Visio Data Visualizer.
Just this week at Ignite they have announced that this has gone “GA” with some nice improvements.
We'll take a look at this this add-in now that more people will have access to it.
There's three types of charts: org charts, flowcharts, and process charts.
It is if you are on Insiders or the Monthly channel of Microsoft 365.
Enterprise or student then you are going to have it.
For Home, it is very very limited.
And semi-annual, it's still in Preview so you have to follow the instructions in Leila’s or Mynda’s video.
If you have Excel 2016, Excel 2019, the perpetual version you will not have these items.
Alright. So what's new?
First off, right here on the Insert tab they now have an icon for Visio Data Visualizer.
That will help people to discover it.
What I really like is if you go to File, New in the Backstage.
You can search for “flowcharts” and there are five templates.
These two require Visio licenses.
But these three here are the ones that we have available.
So let's take a look at creating an Org Chart.
File, New and I will search for “flowcharts”.
It is showing up there because I've already searched.
But for you, search for “flowcharts” and choose one of these three here.
So I will use the org chart.
And say Create.
They have several different types of org charts.
We'll just choose one of these.
They give us some sample data. Which is what they did in preview.
But in addition, there are three more tabs here.
Getting Started walks you through how to create it.
Understanding the Diagram Data.
Then a pitch for the Visio trial.
Really, a few people will be able to use this add-in straight away the way it is.
But if you want to get into changing colors or adding a title.
Or any of those other things.
I can see that this is really kind of a gateway to get you to try Visio.
Alright so here we have the data and the chart that gets created.
What is awesome is that if we change the data in the table.
So the director. I am going to change to Bill Jelen.
It doesn't update automatically.
But when I click Refresh then the new data from the grid gets shown in the chart.
Here we have someone Aet Kangro who currently has a manager of ID3.
So that's Paul.
If we want to move them to ID2 just update this here to ID2.
And when we refresh this whole line of people will move further down in the chart.
Now now tips here.
As I've been trying to use this I am always looking for the resize icons to make it larger.
And you can't really get the resize icons until you first click on the border.
So wait till you see the four-headed arrow.
Once you get the Move icon, Click.
Then the resize icons appear.
It is really really frustrating at first. I couldn't ever get the Resize handles.
But then once I figured out that trick that makes it a little bit easier.
One of their tips is that you can add new fields out here.
So let's add location and we'll put these people in Building 36. [ typing ] These people in area 51.
People here at the SCD location.
And when I refresh it does not show up here in this preview but it will show up when we look at this in Visio Online.
If you want to add some people. Here we have ID6.
I want to add some more people below that.
I will add ID14. Grab the fill handle and drag.
I have a custom list with names.
So, we'll have those people And they are all compositors.
They will all report to ID6 as staff.
They are in the Molaki Drive location.
Then when I refresh.
See, they automatically get added.
So that's really cool.
This is better than SmartArt. Where it would be a real hassle to add people.
I like it.
I am going to save this out to OneDrive for Business.
Okay then back here.
These three dots called the Overflow Menu.
Open in Web. So I will choose that.
This is actually the point where they create a Visio Online file for you.
Up until this point the data is just stored in Excel.
But they've now created this file.
I can open that file. It takes me to a browser.
This is where we have a little bit more functionality.
I can choose a person here and go to Shape Info.
And it shows me “Area 51” from the new column that I added.
You can share this information with specific people.
They'll be able to view it just like this even if they don't have a Visio license.
The problem comes in is if you want to edit the diagram. Then you need a Visio license.
Back here in the sample data that you get from File, New.
They have a link here for a plan one or plan two for free for 30 days.
Plan one is US$5 a month. Plan 2 is fifteen dollars a month.
That's pretty much what I am paying for all of Office 365 including Power Pivot, Power Query.
I would really have to want to be doing this A LOT to pay for the whole version.
If you create a flowchart they have various shape types here.
It is a data validation you can choose from.
Just so you can see what those all are, I've created a little flowchart with every possible shape type.
So Process, Decision, Subprocess, Start, End, Document, Data, Database. External Data. On-page Reference. Off-page Reference.
And then four custom shapes.
Of course if you are paying for the visio plan 2 then you can use any of the shapes available in Visio.
Okay so we've seen the org chart and the flow chart. This is called a Process chart or a Swim Lane Chart.
It is a flow chart that basically has rows and columns.
So for example different departments might be responsible for different things.
So here I have three columns: Gold, Silver, and Bronze and that the Function column.
The Phase column is for rows.
Each item. So, here P1 is Johnny Weismuller won three gold at the 1924 Paris olympics.
That is that shape. I want it connected to both Shape P2 and Shape P3.
So I am able to say Next Step ID and put a comma between them.
To change the label on that connector.
Same thing this one is the label for the arrow to P2.
And then Tarzan for the label to P3.
Down here, Mark Spitz.
I wanted a label on going to 1972 Munich but not to Silver So just a single comma there to create the blank between them.
